How do I run a payroll for a 12/31 check date?

When it comes to processing a final payroll of the year, you have some options.

In 2023, 12/31 falls on a Sunday and cannot be used as a check date this year. The last check date you can chose for a 2023 payroll is Friday, 12/29 Payroll needs to be approved by 4 pm cst on Wednesday, 12/27 to ensure wages from that payroll count towards the current tax year’s tax liabilities. We recommend starting that last payroll processing early in case you have any last minute questions or adjustments.

Option 1 – Process your regularly scheduled payroll

If your regularly scheduled payroll already falls on 12/29, proceed with running a payroll as you normally would. Add any additional pay options in the form of Additional Checks, such as a year-end bonus, if applicable. Read the Additional Pay Options article for more info.

Option 2 – Process an extra payroll outside of your regularly scheduled payroll

If you’ve processed your last payroll for the year, but you’d like to process an extra payroll dated on or before 12/29 for the current tax year, use the following instructions to begin an extra payroll.

Starting an Extra Payroll

  1. From the Dashboard, click the “Run an extra payroll" tile.
  2. Select the pay period start date and end date. These are pre-populated to help guide you.
  3. Select the check date when your employees should receive the funds (for this payroll to count towards the current tax year, please be sure to choose a check date on or before 12/29).
    • We recommend selecting a date BEFORE your next regularly scheduled check date. Selecting a date after your regular check date can throw off your payroll schedule.
  4. Select which deductions, if any, should be applied.
  5. Click “Save”.

Payroll Entry – Extra Payroll Setup

  1. Review your employee(s) information to make sure it’s correct.
  2. Add any desired regular pay or additional checks.
  3. Click “Preview Payroll” and complete payroll as normal.
